What you'll be doing
- Set up and manage complex meeting and appointment calendars (often with competing priorities) with senior company leadership, including conference calls and telepresence conferences. Create power point presentations. Organize and administer team and other standing meetings. Make travel arrangements and prepare expense reports. Train other support staff in IMG BSMS managed services. Act as a representative of the IMG BSMS managed services team in dealing with other KB executives, other it and business stakeholders, as well as external suppliers. Prepare and submit expense reports. Coordinate special events such as large group meetings, off sites, conferences, including events with catering and audio-visual requirements. Onboard new hires (employees/contractors/consultants) into the work environment (i.e., KP access including badge requests, workspace, telephone, cell phone, OneCare, pc/laptop assignment). Coordinate the interviewing and on boarding of contract staff.
What your background should be
- A minimum of 7 years of experience in a corporate office setting. High level proficiency in the use of Microsoft Office products (Visio, Word, Excel, PowerPoint). A minimum of 2 years of KP experience supporting a VP or 2nd level manager. 5 years of administrative experience supporting executive staff with presentation preparation, calendaring, meeting and event coordination, arranging travel and processing expense reports. Operational knowledge of Visio, MS Project, MS Access, Ariba, Remedy, RPM, KPERS, CHIMES and payroll TIME keeping . The candidate should have excellent interpersonal skills and be able to interact effectively with the leadership as well as a variety of external suppliers, and internal and external customers.
Required Schooling / Training
- Bachelor degree.
