Facilities Resource Coordinator

What you'll be doing
- Utilize contract support, implement assigned facilities operations preventative maintenance service. Articulate the scope of the work, select vendor most equipped to meet needs and assign work accordingly. Perform quality assurance checks to ensure SOM operational standards are being met on time and on budget. Administer multiple service contracts with a variety of vendors. Track end dates of all vendor contracts, review vendor performance, renegotiate or renew existing contracts, research and review vendor options for new or renewable services, prepare and submit requests for proposals and make recommendations to management regarding vendor selection. Track service levels for all contract support, review or reconcile activities reported on vendor invoices and oversee vendor invoice processing. Using SOM standards, build maintenance service platform to meet companies needs, i.e. annual fume hood certification, annual backflow certification, quarterly fire life safety inspections, etc. Coordinate efforts of project and operations teams to facilitate project transitions from project to operations. Schedule punch list items, warranty service and start up activities. Responsible for coordinating projects performed by project manager and area manager to avoid activity conflicts and to optimize resource allocation.
What your background should be
- Five years related, demonstrated technical facilities management experience or an equivalent combination of education and experience. Analytical skills to analyze and track complex space, equipment and financial data. Interpersonal skills, mature judgment required to interact effectively with a broad range of people, including faculty and vendors, both individually and in groups. Ability to coordinate and manage multiple projects with competing priorities, meet deadlines and project plans with short- and long-term end dates. Working knowledge of applications such as Excel, Word, PowerPoint, Project. Experience working with internal and external vendors and services contracting. Background knowledge of safe handling and disposal of chemicals and hazardous waste; emergency preparedness plans. Valid California non commercial class driving license.
