What you'll be doing

Answer all department incoming phone calls. Receive visitors to the department and respond appropriately following department protocol. Coordinate and maintain schedules/calendars for department managers and directors. Coordinate and schedule meetings, interviews, events, tours, etc. Make arrangements related to employee travel, applicant, vendor or client visits, reservations, airline tickets, car rental, catering, etc. Type, file, copy and fax when requested. Prepare correspondence, reports, graphs and charts as requested. Regulate usage and order supplies within the department. Maintain records and department databases as requested which may include network administration (add, change, delete), expense reports, attendance reports, service agreements, purchase requisitions. May be required to work overtime to support the needs of business.

What your background should be

Minimum three years of experience as a secretary or administrative assistant. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other software applications such as PageMaker and Project Manager. Ability to work with and maintain highly confidential information. Excellent organization skills. Excellent interpersonal, verbal and written communication skills.

Required Schooling / Training

High school.
